This policy explains what personal information the National Space Federation (“the Federation”, “we”, “us”) collects through this website and when you register or pay for our programmes, competitions, events and membership, how we use it, and the choices and rights you have. It applies to the online website and the offline copy of it, and should be read with our Terms and Conditions.

Information we collect
When you visit the website
We do not ask for personal information to read the website, and our pages do not set cookies or store anything in your browser.
Like every website, the server that delivers our pages keeps short technical records of requests. These usually include your IP address, browser type, the page requested and the date and time. Our hosting provider keeps these records to deliver the site, keep it secure and investigate problems. We do not use them to identify visitors.
The offline copy of the website runs entirely on your own device and sends no information to anyone.
When you register for a programme, competition, event or membership
We collect the details needed for that activity, which may include:
- name, email address, phone number and postal address
- date of birth or class, school, college or institution, for eligibility and age groups
- for students under 18, the name and contact details of a parent or guardian
- for organisations, the organisation’s name and the contact person’s details
- your answers, submissions and results in competitions and assessments
Each registration form says which details are required and why.
When you make a payment
Payments are processed by a third-party payment gateway. You enter your card, UPI, net banking or wallet details on the payment gateway’s secure page, not on our website, and we do not receive or store them. The payment gateway tells us whether the payment succeeded and gives us details such as the transaction number, amount, date and payment method, which we keep as a record of your payment. The payment gateway handles your information under its own privacy policy, and may use cookies on its own pages.
When you contact us
If you email us, we receive your email address, your name if you include it, and whatever you choose to write. We use this to reply to you and to keep a record of our correspondence.
How we use information
We use personal information only to:
- register you for an activity, check eligibility and run the activity
- process payments, issue receipts and handle refund requests
- publish results, certificates and lists of winners, where the activity’s rules say so
- send you emails about your registration, payment, login details or password reset
- if you choose to receive them, send you news about our programmes and events
- reply to your messages and requests
- keep the website and our records secure and free of misuse
- meet our legal, tax and accounting obligations
We process personal information in line with India’s Digital Personal Data Protection Act, 2023: with your consent, which you give when you register, pay or contact us, or for other uses the law permits.
Emails
We send emails about a registration or payment because they are needed to provide the Service. News about our programmes and events is sent only if you agree to receive it, and every such email tells you how to stop receiving them. You can also opt out at any time by emailing us.
We do not sell, give away or share email addresses with anyone for their own use.
Sharing information
We do not sell, rent or trade personal information. We share it only:
- with the payment gateway, to process your payment and any refund
- with service providers who help us run the website, email and registrations, and only for that purpose
- with your school, college or institution, where you registered through it or the activity requires it
- with the organiser of an activity run jointly with another organisation, where you register for that activity
- when the law requires it, or to protect the rights and safety of the Federation, our participants or the public
Links to other websites
Our pages may link to other websites, including the websites of external programmes such as Olympiads. We are not responsible for how those websites handle personal information, so please read their privacy policies.
How long we keep information
We keep personal information only as long as we need it for the purpose it was collected for, and then delete it. Payment and transaction records are kept for as long as tax and accounting laws require. Results and lists of winners may be kept as a permanent record of the activity. Our hosting provider keeps server records for a limited period under its own policy.
Security
We take reasonable technical and organisational steps to protect the personal information we hold, and limit access to the people who need it. No method of sending or storing information online is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will inform you and the authorities as the law requires.
Children
Many of the people the Federation serves are students, including children under 18. When a child registers for an activity, we ask for the consent of a parent or guardian, as the Digital Personal Data Protection Act, 2023 requires. We do not use children’s information for advertising or tracking.
Your rights
Under the Digital Personal Data Protection Act, 2023, you may ask us:
- for a summary of the personal information we hold about you and how we use it
- to correct, complete or update it
- to delete it, where we no longer need to keep it
- to withdraw your consent, which will not affect anything done before you withdrew it
You may also nominate another person to exercise these rights on your behalf if you are unable to. To make a request, or to raise a concern about how we handle personal information, email nationalspacefederation [at] gmail [dot] com. If you are not satisfied with our response, you may approach the Data Protection Board of India.
